PRIMARY FUNCTION

 

Provides administrative support to the business office. Responsible for supporting all aspects of the business office including confidential material. Position may from time to time be stressful and require a high demand of performance. May perform other duties as assigned.

 

ESSENTIAL FUNCTIONS

 

  • Enters accounts payable check requests into accounts payable module; completes CCS required information on the check request
  • Enters accounts payable data into the Accounts Payable module
  • Enters electronic withdraws and transfers into cash manager module
  • Enters agency prepared spreadsheets for CCS-Yuma and CCS-Sierra Vista into cash manager module
  • Enters cash receipts on spreadsheets
  • Mails out account payable checks
  • Responsible for filing daily accounts payable files, check requests, Microsoft Dynamics accounts payable reports, journal entries and cash transactions
  • Files accounts receivable transactions (including credit memos, Invoices, Pas)
  • Responsible for maintaining the paper and electronic filing system
  • Shreds Business Office files and documents
  • Responsible for the procurement of Business Office supplies
  • Prints and distributes IRS 1099's
  • Runs and distributes monthly financial reports, including financial statements, credit card statements and other reports as assigned
  • Scans all bank deposits, checks and supporting documents
  • Reconciles employee advances and custodial accounts
  • Prepares daily deposit slips for pickup by bank courier
  • Opens Business Office mail
  • Makes copies of documents to assist with the daily tasks of the Business Office
  • May drive personal or agency vehicle on company business

 

 

MINIMUM QUALIFICATIONS

 

Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.

 

  • HS Degree
  • Proven typing Skills
  • Proven 10-key Skills
  • Intermediate level Microsoft Excel skills
  • Proven skills utilizing Microsoft Office Suite
  • Proven strong communication skills oral, and written are clear, concise, and in an organized fashion using appropriate style, grammar and tone
  • Proven knowledge of numbers, their operations and interrelationships
  • Obtain State of Arizona Level One Fingerprint Clearance Card
  • Valid driver's license for the state of Arizona, proof of insurance and minimum standard 39 month MVR report

  

DESIRED QUALIFICATIONS

 

  • Associate Degree
  • Experience with accounts payable functions
  • Experience with general office functions
