Position Purpose


Performs necessary functions to facilitate Supercenter billing, collections and accounts receivable maintenance. Oversees facilities maintenance and supply/equipment acquisition processes.  Oversees interpreter payables/billing and resolves invoice and billing issues. Enters billing information and generates invoices in Microsoft Dynamics. Responsible for AR tracking and collection. Audits interpreting invoices/statements and serves as liaison with the Deaf and Residential Services (DRS) Business Office and CCS Business Office. Responsible for reconciliation of SuperCenter records with CCS accounting. Supervises Administrative Assistant II. Assists with the preparation of grant solicitations. Position may from time to time be stressful and require a high demand of performance. May perform other duties as assigned.


Essential Functions


  • Responsible for tracking and posting all agency receivables (payments by check, credit card, EFT) utilizing technology to process credit cards and deposits electronically, bank deposits; maintains agency ledgers
  • Responsible for all aspects of billing and processing in the Interpreting area.
  • Manages all data in the Interpreting Company in Microsoft Dynamics, to include updating customer account information, recording of payments, importing billing information, generating invoices, managing ARs
  • Researches EFT and ACH deposits to identify appropriate posting of funds
  • Supervises staff
  • Reviews and submit interpreter payables
  • Oversees process by which tracking and updating files for all new agreements/contracts sent to consumers; processes executed agreements and maintains database/hardcopy customer account information
  • Investigates assignment information to resolve consumer invoice and billing questions
  • Identifies and responds to overdue outstanding accounts receivables and performs collection actions as necessary for all VCD departments, and oversees SuperCenter ARs and assigns/monitors collection activities of other staff
  • Reviews and approves mileage and travel claims, and ensures compliance with applicable policies and procedures
  • Oversee administrative support to the agency management and staff, as necessary
  • Support the preparation of grant solicitations
  • Responsible for overall management of agency vendor accounts
  • Monitors telephone problems, facility issues, DSL, etc., and arranges service, as needed
  • May drive agency or personal vehicle on company business

Minimum Qualifications


Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.

  • Associates degree or 2 years post-secondary education
  • 4 years of progressive administrative experience overseeing business operations such as customer service and account management with vendors, managing payment to workers, etc
  • 2 years supervisory responsibility
  • Demonstrated problem solving skills and the ability to work independent of direct supervision in a team environment
  • Proven skills utilizing Microsoft Office Suite
  • Proven strong communication skills oral and written are clear, concise, and in an organized fashion using appropriate style, grammar and tone
  • Demonstrated interpersonal communication skills with persons of varied educational, ethnic and cultural backgrounds
  • Knowledge and experience in working with individuals with disabilities
  • Obtain State of Arizona Level One Fingerprint Clearance Card and pass drug screening
  • Valid Arizona Driver License, proof of insurance and Arizona Motor Vehicle Division 39 month Motor Vehicle Report

  • Basic American Sign Language skills
  • Experience with QuickBooks
  • Familiar with Adobe Writer and Fill and Sign
