About this opportunity

Position: Executive Coordinator

Location: Tucson, Full-time, Exempt

Provides wide-ranging, highly visible, reporting and support for the Corporate administration departments, Board of Directors, and Board committees. Creates complex reports and executive correspondence, manages scheduling, ensures comprehensive meeting preparation and records management. Responsible for the management and oversight of office support functions. Requires the utmost of discretion, independent judgment, and professionalism. Position may from time to time be stressful; requires a high level of performance. May perform other duties as assigned.

ESSENTIAL FUNCTIONS

  • Develops and revises Board policies, processes, and procedures through interpretation of dialogue at Board meetings, written correspondence, and input from multiple sources
  • Manages planning and coordination of all Board of Directors, Board Committees, and Corporate Leadership Team meetings
  • Manages planning and coordination of Board retreats and strategic planning meetings.
  • Attends and provides accurate and time-sensitive records of all Board meetings, Board committee meetings, leadership team meetings, strategic planning meetings, and other key meetings
  • Manages complex scheduling and extensive calendar management for multiple parties
  • Completes special projects as requested for Board of Directors, Board Committees, and executive team, including CEO, CFO, Operations Director, and HR Director
  • Prepares and manages corporate-level documents, ensuring accuracy and clear, professional presentation
  • Manages office supply and related inventory
  • Implements and manages contract tracking system for all contracts throughout CCS
  • Manages tracking system for incident reports throughout CCS
  • Recruits, hires, orients, trains, supervises, and evaluates office support staff for selected administrative functions for corporate headquarters.
  • Performs department accounting functions, ensuring alignment to budget.
  • Serves as primary point of contact for calls and visitors, including government officials, officials of Catholic Diocese, and the press. for CEO and Director of Operations
  • Manages information flow between multiple parties in a timely and accurate manner
  • Manages projects and events as requested, including coordination of Federal, State, and local agency monitoring activities
  • May drive personal or agency vehicle on company business

MINIMUM QUALIFICATIONS

Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.

  • Bachelor's Degree in business or related field
  • 7 years of senior level administrative support experience
  • 2 years supervisory skills
  • Proven, expert-level skills utilizing Microsoft Office Suite
  • Strong verbal and written communication skills, exhibiting clarity, conciseness, and organization, using appropriate style, grammar and tone
  • Strong knowledge of numbers, their operations and interrelationships
  • Proven record of excellent customer service and teamwork
  • High level of professionalism and discretion
  • Exceptional organizational skills
  • Independent judgement to determine appropriate course of action and priorities
  • Flexibility and adaptability to adjust to changing priorities and deadlines
  • Obtain State of Arizona Level One Fingerprint Clearance Card
  • Valid driver's license for State of Arizona, proof of insurance and minimum standard 39 month MVR report

DESIRED QUALIFICATIONS

  • Additional education in Journalism, English or related area
  • Knowledge of contracts and contract language
  • Additional years senior or executive level administrative support experience
  • Bilingual English/Spanish verbal and written
